To whom this may concern,

I would like to request information to satisfy the following questions:

1. How much was spent in 2015 by the organisation on travel costs for all staff and Directors broken down by road, rail and air?

2. How much was spent in 2015 by the organisation on accommodation for all staff, and Directors broken down by domestic and foreign expenditure?

3. Does the organisation use the services of a travel management company to minimise these costs?

4. If yes to question 3, which travel management company does the organisation use?

5. If yes to question 3, how much has the outside company been paid in respect of it's services (excluding travel and accommodation charges) in 2015?

6. If yes to question 3, how much has the employment of an external travel management company saved the organisation in 2015?

I would be pleased to receive the number for the UK operations

Dear

Thank you for your request for information dated 11 May 2016 concerning travel and accommodation spend and details of our Travel Management Company. Your request has been handled under the terms of the Freedom of Information Act (FOIA) 2000 and has been passed to me for reply.

I can confirm, under section 1 (1) (a) of the FOIA, that the British Council does hold the information you have requested.

For your ease of reference, I have restated your request below in bold and have provided our response beneath each point.

1. How much was spent in 2015 by the organisation on travel costs for all staff and Directors broken down by road, rail and air?

2. How much was spent in 2015 by the organisation on accommodation for all staff, and Directors broken down by domestic and foreign expenditure?

I would like to request the aggregated numbers for travel and accommodation spend so that you are able to comply with the request.

The total spend for travel and accommodation in 2015 is £53,142,814.28.

Please note that this total also includes direct costs associated with running our business such as venue hire (hotels) for exams and journeys made by exam venue staff such as invigilators and also non staff flights made by programme participants etc…

I imagine that your response regarding Travel Management services means there is no organisation wide Travel Management contract.  I would be pleased to receive the number for the UK operations. 

3. Does the organisation use the services of a travel management company to minimise these costs?

We have a central travel management company for travel to/from the UK.

4. If yes to question 3, which travel management company does the organisation use?

Hogg Robinson

5. If yes to question 3, how much has the outside company been paid in respect of it's services (excluding travel and accommodation charges) in 2015?

£250,000

6. If yes to question 3, how much has the employment of an external travel management company saved the organisation in 2015?

£230,000 + commissions returned from hotel bookings
