Your final report

Young woman smiling A final report is a requirement for all Youth in Action projects. It is also a chance to record what went well, what you would change and tell us the impact of your project.

When do we submit the report?

Final reports must be submitted no later than two months after the completion of the project. If you don’t submit a report, as evidence that the project took place, you will be asked to repay the funds.

Which forms do we use?

Download the form that corresponds to the relevant Action and the year in which your project was granted. If you are not sure refer to your Project Reference Number (as stated on the Grant Agreement). Fill in both sections; the narrative and financial.

Make sure you:

  • use the prompts in the boxes to complete each section
  • get participants to sign the required reports/sheets
  • double-check all financial calculations before submitting the report.

Guidance for beneficiaries on reporting (Word 93 KB) tells you how to complete a final report for any of the Actions.

The Receipts list template (Excel 732 KB) helps you to organise all receipts, invoices, and mileage claims and convert these costs into Euros. (You must complete and submit this document with your final report.)

The Youth in Action template for individuals (Word 45 KB) is designed for trainers or facilitators who provide services to your projects. Here they record and invoice for their time and/or service, ensuring that you have the right evidence to submit with your final report.

The final report and supporting documents must be sent as hard copies to your named project officer at:

Remember to:

  • keep copies of these documents and
  • use recorded delivery mail.
