The participation fee includes:
- venue hire including security at the event
- six square meters stand with facia board, a table, four chairs, lights, sockets
- PR campaign: press conferences advertising on the web, television, newspapers, street banners and billboards, flyers, posters
- market briefing
- exhibition assistants, lunch on exhibition days
- Internet connectivity in Lagos and Abuja
- transport to and from hotels and the exhibition venues.
There will also be a British Council sponsored reception in honour of the participants (the cost of this reception is not incorporated into the participation fee).
Stand sharing is available at a premium of 20 per cent on the cost of participation.
Please note that the participation fee does not include international or domestic travel, accommodation, subsistence or freight, except where stated.
This year, we have set a target to reduce our overall exhibition costs by 12 per cent. Unfortunately, in comparison to last year’s event, we have not achieved this in all cities for the following reasons:
- in-country inflation has affected both advertising and refreshment costs, which has added considerably to the event costs
- venue costs have increased, particularly in Abuja, due to inflation and demand. There are very few suitable venues, so they have increased the rates when booking the venue and we have been unable to negotiate any further reductions.
Following feedback from the February 2008 exhibition, we investigated holding the exhibition in Lagos on the mainland, but are not doing, because:
- the FCO cannot guarantee the safety of delegates on the mainland
- the suitable venues on the mainland were not large enough to accommodate the number of institutions expected to attend, were very expensive and were booked up at the times required
- the majority of recommended hotels with the capacity to handle the number of delegates expected to attend the exhibition are on the island and transport with security would be very difficult.
The participation fees stated above incorporate a 'credit crunch' contingency and are the maximum that participants will be charged. If this additional contingency is not called upon, participants will be invoiced for less than the maximum fee.

Visas are required for UK passport holders. Other passport holders should check with their travel agent or contact the Consulate or Embassy of the country they plan to visit.
The deadlines for freight collection by our recommended freight handler are:
- Air freight: 9 January 2009
Sea freight is not available for this event.
The participation fee does not include freight costs and these are the responsibility of the participating institution.
Cancellation fees will be charged for withdrawal from this event, as of the date of receipt of notice of withdrawal:
- 50 per cent of the full event cost for withdrawals received on or after 28 November 2008
- 100 per cent of the full event cost for withdrawals received on or after 9 January 2009
Notice of withdrawal must be supplied in writing. If faxed, it should be followed by the original copy being sent by post.
