The participation fee includes:

  • Kuala Lumpur:
    • three metres by three metres stand;
    • overhead fascia panel with stand numbers
    • carpet throughout
    • one coffee table
    • one lockable cabinet
    • one information desk
    • two folding chairs (exhibitors can request additional folding chairs if necessary at no added cost)
    • two easy chairs and a coffee table
    • one brochure rack
    • two fluorescent tube lights
    • two 100 watt spot lights
    • 13 amp single phase socket
  • Penang:
    • 2.5 metres by two metres stand (each booth of two half piece back-laminated panels and two panels on either side of 90 degrees straight; each panel measures one metre wide by 2.5 metres high; stands will be medium in size, only able to accommodate small geodesic / nomadic displays)
    • a long table and four chairs
  • Kuching:
    • one 2.5 metres high backdrop panel (only able to accommodate small geodesic / nomadic displays)
    • a long table and two chairs
  • Kota Kinabalu:
    • one 2.5 metres high backdrop panel (only able to accommodate small geodesic / nomadic displays)
    • a long table and two chairs
  • advertisements placed in major national edition newspapers, targeted magazines and websites; direct mailing sent to over 100,000 targeted individuals, universities and colleges; posters and postcards delivered to targeted schools, colleges and universities; promotion by staff participating in local education fairs and institutions outreach.

Stand sharing is available at a premium of 20 per cent on the cost of participation.

Please note that the participation fee does not include international or domestic travel, accommodation, subsistence or freight, except where stated.

There has been a significant increase in participation fees in Kota Kinabalu due to inflationary rates charged for the hotel venue, printing of materials, and advertisements. Due to increases in fuel prices in July 2008, most vendors took the opportunity to also increase their rates, citing fuel prices as a justification. Despite the recent fall in fuel prices, vendors have not reflected this in their prices.

The participation fees stated above incorporate a 'credit crunch' contingency and are the maximum that participants will be charged. If this additional contingency is not called upon, participants will be invoiced for less than the maximum fee.

Visa requirements
Visas are not required for UK passport holders. Other passport holders should check with their travel agent or contact the Consulate or Embassy of the country they plan to visit.


Freight
The deadlines for freight collection by our recommended freight handler are:

  • Sea freight: 30 January 2009
  • Air freight: 6 March 2009

The participation fee does not include freight costs and these are the responsibility of the participating institution.


Cancellation
Cancellation fees will be charged for withdrawal from this event, as of the date of receipt of notice of withdrawal:

  • 50 per cent of the full event cost for withdrawals received on or after 30 January 2009
  • 100 per cent of the full event cost for withdrawals received on or after 20 February 2009

Notice of withdrawal must be supplied in writing. If faxed, it should be followed by the original copy being sent by post.
