UPDATE [29/07/10]: As interest and recruitment for the Osaka event has been very low this year we have taken the decision to cancel the Osaka event in its originally planned format.

However, if you would still like to visit Osaka in early October to carry out recruitment activities, British Council Osaka will be happy to arrange appointments to visit Japanese Universities, Study Abroad Agents and other educational institutions. If you are interested in this then please contact Tom Mayes at tom.mayes@britishcouncil.or.jp.

The participation fee includes:

Tokyo

  • venue hire;
  • Standard table (45cm by 180cm) and six chairs (three for institution representatives, three for visitors). The back panel is 210cm high by 180cm wide. Each participant has a space 240 cm wide, including the table;
  • additional room and equipment hire;
  • PR campaign: advertising on web, newspapers, magazines, street
  • banners, flyers, email shots, other;
  • marketing briefing, small size lunch gathering, institutional/school/agent visits, BC appointed stand assistants, refreshments, other;
  • freight between the Tokyo venue and the Osaka venue.

Osaka

  • venue hire;
  • standard table (45cm by 180cm) and six chairs (three for institution representatives, three for visitors). There are no partitions or panels.
  • additional room and equipment hire;
  • PR campaign: advertising on web, newspapers, magazines, street
  • banners, flyers, email shots, other;
  • marketing briefing, reception(TBC), institutional/school/agent visits, BC
  • appointed stand assistants, refreshments, other;
  • freight between the Tokyo venue and the Osaka venue.

Stand sharing will be made available at a premium of twenty per cent on the stand costs.

Please note that the participation fee does not include international or domestic travel, accommodation, subsistence or freight, except where stated.

Visa requirements
Visas are not required for UK passport holders. Other passport holders should check with their travel agent or contact the Consulate or Embassy of the country they plan to visit.


Freight
See below for estimated freight deadlines for this event.  Please contact your chosen freight provider directly for confirmation of their deadlines.

  • Sea freight: 3 August 2010
  • Air freight: 14 September

The participation fee does not include freight costs and these are the responsibility of the participating institution.


Cancellation
Cancellation fees will be charged for withdrawal from this event, as of the date of receipt of notice of withdrawal:

  • 50 per cent of the full event cost for withdrawals received on or after 31 August 2010
  • 100 per cent of the full event cost for withdrawals received on or after 4 September 2010

Notice of cancellation must be given by e-mail to educationuk.events@britishcouncil.org. You will receive a confirmation message within one week of your cancellation.

All applications are subject to the Education UK exhibitions terms and conditions, which include the eligibility and selection criteria and details of when you will be informed whether your application has been accepted or rejected.


VAT
From 1 January 2010 HMRC implemented changes to the way VAT is to be collected and charged, specifically in relation to VAT treatment of cross-border services.  VAT is now payable on the added-value UK customer management element of all Education UK Exhibitions taking place outside of the EU. In order that VAT be apportioned it will now be necessary to separate the UK management element out accordingly.

The exhibition invoice will display two lines:  

  1. The first line will detail the overseas costs of the exhibition (venue hire, equipment hire, local promotion, local staff costs etc.) and will not be VAT-able.
  2. The second line will detail the UK costs of the exhibition (recruitment, administration, UK promotion etc.) and will be VAT-able.

This cost for UK management has always been in place, the only difference being that prior to these changes it was included as part of the holistic pricing model for each exhibition.
