The participation fee includes:
- venue hire
- standard table (0.45 metres by 1.8 metres) and six chairs (three for institution representatives, three for visitors); the back panel is 2.1 metres high by 1.8 metres wide (tbc); each participant has a space 2.4 metres wide, including the table
- additional room and equipment hire
- PR campaign: advertising on web, newspapers, magazines, street banners, flyers, e-mail shots, other
- market briefing, reception (tbc), institutional / school / agent visits, British Council appointed stand assistants, refreshments, other
- freight between the Tokyo venue and the Kyoto venue.
Stand sharing is available at a premium of 20 per cent on the cost of participation.
Please note that the participation fee does not include international or domestic travel, accommodation, subsistence or freight, except where stated.
The participation fees stated above incorporate a 'credit crunch' contingency and are the maximum that participants will be charged. If this additional contingency is not called upon, participants will be invoiced for less than the maximum fee.
Last year, we set a target to reduce our overall exhibition costs by 12 per cent. Tokyo and Kyoto have managed to reduce expenditure by 20 per cent; however, the continuing strength of the Yen means that there has been a significant increase in the participation fees in Pounds Sterling for this event compared to the previous year. The strength of the Yen, however, will have a positive impact on the recruitment of Japanese students to UK institutions, as the UK is now a much more financially suitable option. Please note that the networking meeting and dinner with Japanese universities, agents and schools will no longer be taking place in 2009. This decision has been made following a decline in participation over the past two years, which has occurred mainly due to relationships having already been built and developed following attendance at previous years' events. The networking meeting has been replaced with a drinks reception for both delegates and British Council staff.

The deadlines for freight collection by our recommended freight handler are:

- Air freight: 18 September 2009
The participation fee does not include freight costs and these are the responsibility of the participating institution.
